The following positions are currently available: 

Floater Legal Secretary - Cerritos

Overall Purpose

Provides back-up secretarial support to attorneys in various practice groups, and administrative assistance to other legal secretaries.  Maintains positive communications with clients, attorneys and staff.  Observes confidentiality of client matters.  Follows policies and procedures of the Firm.

Essential Job Duties

  • Prepares and revises legal documents, correspondence, memoranda, and e-mails from written form as well as from transcription
  • Operates personal computer, transcription equipment to produce legal documents, correspondence, memoranda and e-mails, and other office machines such as photocopier, fax machine and postage meter
  • Proofreads prepared materials to ensure documents are free from typographical and grammatical errors and are formatted according to Firm standards
  • Reads, sorts and prints incoming mail, and e-mails and distributes as appropriate
  • Schedules appointments and meetings for attorneys
  • Manages and maintains calendar for deadlines; ensures important dates are recorded on the master calendar
  • Maintains client files and chron files

Other Duties

  • Arranges for travel for attorneys including hotel, airline and transportation
  • Assembles documents and exhibits for court filings and recordings, hearings, arbitrations, mediations, depositions or other engagements
  • Assists in the preparation of marketing materials such as pitch folders, attorney biographies and PowerPoint presentations
  • Performs all other duties as assigned

Qualifications/Requirements

  • High School Diploma
  • Prior legal secretary experience in the areas of education, litigation, transactional, or bankruptcy
  • Ability to type, read, and write in order to proofread and perform initial input and revisions to legal documents, correspondence, memoranda and e-mail.
  • Must have knowledge of MS Office Suite which includes Word, Excel, PowerPoint
  • Knowledge of document management systems such as IManage
  • Ability to type 65 wpm
  • Ability to organize and prioritize workflow for multiple attorneys
  • Excellent interpersonal skills to effectively communicate and follow instructions from a diverse group of attorneys in a professional and businesslike manner.
  • Ability to operate office equipment such as computer, transcription equipment, fax machine and advance functions on photocopiers
  • Stellar attendance and punctuality

Physical Demand

While performing the duties of this job, the employee will:

  • Stand/walk frequently during their scheduled shift
  • Ability to see well enough to read/compose reports and use the computer
  • Ability to hear well enough to communicate with clients, co-workers and outside vendors
  • Climb, stoop and kneel, occasionally
  • Use fine finger manipulation including writing, typing, and using the phone system
  • Ability to work more than 40 hours a week      

Work Environment

While performing the duties of this job, the employee is regularly exposed to normal office working conditions.  The noise level in the work environment is usually moderate.

Litigation Legal Secretary - Cerritos

  • Proficiency MS Office Suite which includes Word, Excel, PowerPoint
  • Knowledge of document management systems such as IManage
  • Ability to type 70 wpm
  • Ability to proactively organize and prioritize workflow for multiple attorneys
  • Ability to multi-task
  • Interpersonal skills to communicate verbally, in writing and by telephone in a professional manner with clients, attorneys, vendors and staff
  • Ability to operate office equipment such as computer, transcription equipment, fax machine and advance functions on photocopiers

Consultant - Marketing Writer and Designer - Cerritos

We are currently seeking to contract with a creative professional who encompasses the capabilities to assist our firm in its business development efforts.  This will include crafting and submitting proposals to mostly public sector organizations (school districts, colleges, universities, cities, counties, etc.) and also developing small graphic design projects (mostly advertisements).  The individual should have 3-5 years of previous writing experience and 1-3 years of design experience. This position will be more heavily focused on proposal development and will be responsible for the process lifecycle from initial receipt of request for proposal to completion and delivery.
Job services include, but are not limited to:
Proposals:

  • Ability to conceptualize and write compelling, marketing-oriented proposal narrative using proposal archives or from scratch as required
  • Develop/create Word documents, Power Point presentations and other related materials in support of proposals or marketing efforts
  • Write key sections that need to be customized and assemble boilerplate and technical information from various appropriate sources; edit entire document to produce working, rough and final drafts
  • Ensure message quality, format, and content meet the stated objective and are consistent with firm wide strategy
  • Consult with firm attorneys and staff to ensure consistency and thoroughness of the response
  • Maintain proposal archive
  • Record, maintain tracking and reporting of all proposal opportunities
  • Communicate necessary requirements and timelines
  • Ability to work on multiple projects at any given time

Design:

  • Create professional advertisements highlighting the firm’s practice and commitment to our clients and the community
  • Critical thinker that can conceptualize ideas and translate them into print and digital media (signage, email, web, other promotional materials, etc.)
  • Create professional looking, well laid out proposal submissions for delivery to the client.

Qualifications/Requirements:

  • Bachelor’s Degree in Communications or related business degree preferred
  • 3-5 years of experience in creative writing for business purposes
  • 1-3 years of experience creating print items, promotional material and digital banners, etc.
  • Ability to organize, prioritize, and complete tasks under short time constraints
  • Excellent written and verbal communication skills; including the ability to proofread copy for typographical, grammatical and spelling errors
  • Solid interpersonal skills to effectively communicate and follow instructions from a diverse group of attorneys in a professional and businesslike manner
  • Ability to represent the firm in a favorable and businesslike manner
  • Must have knowledge of MS Office Suite (Word, Excel, PowerPoint, Publisher) as well as Adobe InDesign, Photoshop, etc.
  • Must utilize personal computer and workspace
  • Writing and design samples must be provided
